An AI POS assistant should explain numbers the system has already calculated, follow the same staff permissions as the reports, prepare drafts that a person approves, and say plainly what it cannot do. It should not invent figures, show profit to a cashier, or create orders on its own.
Should an AI assistant calculate the numbers itself?
Revenue, profit, stock cover (how many days current stock will last), and cash variance should come from the system’s own calculations. The assistant should explain the number, not invent it.
Does it respect staff permissions?
A cashier should not discover profit through a chat box. Money answers must use the same role checks as the reports.
Should it act on its own?
Drafting a purchase order is useful. Creating it without approval is dangerous. The person with permission should still press Create.
Does it admit what it cannot do?
No supplier lead times means no honest “order by Thursday.” No messaging engine means no automatic customer campaign. A good assistant says where it stops.
